SignMyESA respects your privacy. This policy explains what we collect, why, and the choices you have. It is written to be read, not to hide behind length.
What We Collect
Information you provide through our pre-check and forms: your name, contact details, state, and the screening responses you choose to share. Standard technical data such as device type and pages visited, collected to keep the site working and improve it.
How We Use It
To connect you with a licensed provider for your evaluation, to deliver and support your letter, to respond to your messages, and to process verification requests. Screening and evaluation content is shared only with your licensed evaluator.
What We Never Do
We do not sell your personal information. We do not disclose clinical details during landlord verification, which confirms authenticity and license status only. We do not share your diagnosis with housing providers.
Text messaging and your mobile number
If you give us your phone number and tick the SMS box, we use it only to text you about your evaluation and your letter. We do not sell your phone number. Mobile information is never shared with third parties or affiliates for marketing or promotional purposes. Your number is shared only with the licensed provider handling your evaluation and with the messaging platform that delivers the message on our behalf. Live help widget
The help button in the corner of the site is built and hosted by us. It loads no third party script, sets no cookies, and sends no browsing or message data anywhere. It simply links to pages and contact methods you could reach from the menu.
Our HIPAA-conscious approach
SignMyESA is a platform that connects you with independent licensed professionals. We are not ourselves a healthcare provider, so we do not claim to be a HIPAA covered entity and we do not describe ourselves as HIPAA certified, because no such certification exists for a business like ours. What we do is handle health-adjacent information in a HIPAA-conscious way, meaning we hold ourselves to the principles the rule is built on.
In practice that means four things. We collect the minimum needed for a licensed professional to evaluate you, and nothing extra. Your assessment answers are shared only with the professional conducting your evaluation, never with your landlord, and never with advertisers. Your letter never states a diagnosis, because a housing provider has no right to it. And the whole site is served over an encrypted connection.
The licensed professionals who evaluate you are themselves covered by HIPAA in their own practices, and their obligations to you are the full legal ones.
Data Security
We use reasonable administrative and technical safeguards to protect your information. No system is perfectly secure, but we treat health-adjacent information with the care it deserves.
